Maintain role and user notifications

Manager users in the rolecreators role can assign a document or folder change notification to a Viewer Viewers are users with Read-only access to documents. They can access documents and submit feedback to editors user or role.

Note: Change notifications are sent for changes to any of the following:

  • Content
  • Property (for example, a document name
  • Documents (documents added or removed from a folder

Maintain role/user notifications

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Roles.

    The Role Management window displays.

  3. You can now do one of the following:

Assign change notification to user

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Roles.

    The Role Management window displays.

  3. Select the required user.

  4. Select Notifications from the Details & Actions menu.

  5. Click Add notification to user. The Document selector dialog box displays.

  6. Select the folder or document.

  7. Click Add document.

  8. Complete the following fields:

  • Alert level

    • Message
      • The More > Messages menu selection displays the change notification.
    • Alert
      • The More > Messages menu selection displays the change notification
      • A notification popup briefly displays
      • The Panviva icon in the system tray pulsates
    • Interruption
      • The More > Messages menu selection displays the change notification
      • A notification popup briefly displays
      • The Panviva icon in the system tray pulsates
      • A box displays in the Viewer window until the user clicks either read now or read later
  • When message is sent

    • At time of release
    • Manually - The message is only sent when the author manually sends the message from the Document Management > Details & Actions > Notifications
    • Off - No messages are sent until the author changes the notification setting
  • Custom message (Optional)

    • Type a message for each user/role using up to 160 characters.
  • Email (Optional)

    Select the frequency in which the user receives email notifications. Email is sent in addition to the 'Alert' above. It is not an either/or option.

  1. Click Add notification to user. The Notifications window redisplays.

  2. Select more folders or documents, as required.

  3. Click Save.

Assign a change notification to a role

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Roles.

    The Role Management window displays.

  3. Select the required role.

  4. Select Details & Actions>Notifications from the menu.

  5. Click Add notification to role. The Document selector dialog box displays.

  6. Select the folder or document.

  7. Click Add document.

  8. Complete the following fields:

  • Alert level

    • Message
      • The More > Messages menu selection displays the change notification.
    • Alert
      • The More > Messages menu selection displays the change notification
      • A notification popup briefly displays
      • The Panviva icon in the system tray pulsates
    • Interruption
      • The More > Messages menu selection displays the change notification
      • A notification popup briefly displays
      • The Panviva icon in the system tray pulsates
      • A box displays in the Viewer window until the user clicks either read now or read later
  • When message is sent

    • At time of release

  1. Click Add notification to role. The Notifications window redisplays.

  2. Select more folders or documents, as required.

  3. Click Save.

Remove change notification from user

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Roles.

    The Role Management window displays.

  3. Select the required user.

  4. Select Notifications from the Details & Actions menu.

  5. Select the document you want to remove.

  6. Click Remove notifications from user. The document or folder displays as Removed.

  7. Remove more folders or documents, as required.

  8. Click Save.

Remove notification from role

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Roles.

    The Role Management window displays.

  3. Select the required role.

  4. Select Notifications from the Details & Actions menu.

  5. Select the document you want to remove.

  6. Click Remove notification from role. The document or folder displays as Removed.

  7. Remove more folders or documents, as required.

  8. Click Save.
